Linking requirements for organisations

If your organisation provides regulated child-related services, you must link blue card applicants and card holders before they start working with children or young people.

No Card. No Link. No Start

Linking allows us to tell your organisation if a person’s blue card status changes.

All blue card applicants and card holders are checked every day by the Queensland Police Service. If a blue card is suspended or cancelled, we notify every organisation linked to that person.

If you do not create a link, you will not receive these updates.

It is an offence to allow someone to work in a regulated job if their blue card has been cancelled or suspended.

Link a person to your organisation

Tell us when a blue card applicant or card holder starts or finishes with your organisation.

Employers, self-employed people and business operators must keep these records up to date.

You can create a link by either:

• using the Organisation Portal
• submitting the Link a person to your organisation form.

Once the link is complete

After the link is complete:

• paid employees can start work
• volunteers can start volunteering
• students can start placement
• volunteers and students can receive a free blue card.

Remove a link

If a person leaves your organisation, you must remove the link.

You can do this by either:

• using the Organisation Portal
• submitting the De-link a person from your organisation form.

Volunteers and students

New volunteer and student applicants must be linked before they submit an online blue card application.

This confirms that they are a genuine volunteer or student and allows them to apply for a free blue card.

Renewing a blue card

If a person renews their blue card before it expires, their existing links will stay in place.

If the blue card expires before it's renewed, the links are removed.

You must create a new linked after the new card is approved.

When you do not need to create a link

You do not need to create a link for a sole trader, self-employed person or business operator who:

• does not work for your organisation
• provides regulated child-related services independently.

You can check their blue card using the online validation tool.

NDIS provider or business operator

If a self-employed person or business operator provides NDIS services to a child, a relevant person can create a link.

A relevant person may be:

• the child receiving the service
• the child’s parent
• the child’s plan manager.
