Change training organisations (for SRTOs)

Supervising registered training organisations (SRTOs) can be replaced at any time during an apprenticeship or traineeship, provided that both parties (apprentice/trainee and employer) agree.

When SRTOs replace each other, they must follow administrative processes.

When you are the SRTO being replaced

As the replaced SRTO, you must:

  • receive written notice from the employer at least 14 days before the replacement date
  • provide the apprentice or trainee with an up-to-date statement of attainment
  • review and update the apprentice's or trainee's training record.

When you replace another SRTO

You can't replace another SRTO until the employer has given their original SRTO 14 days' written notice which includes the replacement date.

You must advise both parties of the impacts that the replacement may have on the apprentice's or trainee's eligibility for travel subsidies and User Choice funding.

Once you agree to become the new SRTO, you must:

For school-based apprentices and trainees you must also check that their school, work and training timetable (called Education, Training and Employment Schedule, or ETES) is still suitable and modify if needed.

Process for becoming 'bulk' replacement SRTO

To become a replacement SRTO for multiple apprentices and trainees at once, follow these steps:

  1. Get agreement from everyone involved and keep enough evidence as proof.
  2. Prepare a spreadsheet showing each apprentice/trainee's:
    • registration number
    • first name
    • surname
    • date of birth.
  3. Complete Form ATF-010.

Action Time frame
You must complete an ERA and negotiate and sign a new training plan with both parties within 28 days after replacement
You must issue a signed copy of the training plan to the employer and apprentice/trainee within 14 days of it being signed
