Promoting your event
If you've organised an event in your local community, there are a range of ways to let people know about it. Depending on your event, some or all of these activities may help to get the word out.
Promotional activities
4-6 weeks before your event
- Distribute posters and flyers to local schools, libraries, shopping centres, churches and neighbourhood centres.
- Ask local schools and other community groups to promote your event in their newsletters.
- Send a community service announcement to your local radio station. Include details of your event like time, date, venue and cost, and keep it short - under 100 words.
1-2 weeks before your event
- Send a media alert to your local newspaper, radio and television. A media alert is like an invitation for the media to attend and provides an outline of what will happen, when, where and why.
- Send a reminder about your event to any organisations that have previously helped to promote it.
2-3 days before your event

Phone your local newspaper, radio and television station and remind them about your event.
On the day of your event

Send your local newspaper, radio and television station a media release. Follow up with a phone call during the day.
Tips for media promotion
- Be sure to let the media know: if someone well-known is involved with your event; anything about your event that is new or out of the ordinary; anything about your event or its message that will appeal to a large number of people.
- Appoint a media spokesperson. The spokesperson can prepare for the interviews by: keeping the details of your event handy for reference; learning interesting facts or statistics to support the message of the event; practicing giving short, clear answers for radio and TV interviews.
